What is a credit balance?
Monis uses Stripe Billing, so every customer has a credit balance that tracks adjustments (credits or debits) applied to their account. A credit balance represents money owed to the customer, which can be applied to future invoices. This balance is maintained in an immutable ledger of Customer Balance Transactions, ensuring a clear audit trail.
How does monis.rent use credit balance?
We use the credit balance because of our strict no refund policies. There are two ways we use the credit balance:
- Grand/deduct money from our customers if they return items early or swap/ upgrade items
- Deduct extra fees for deliveries/returns or moving
How is the credit balance applied to subscriptions?
The credit balance is automatically applied to a customer’s next invoice upon finalization, reducing the amount due. Here’s how it works:
- Automatic Application: When an invoice is finalized (e.g., at the start of a new billing cycle), Stripe automatically deducts the available credit balance from the invoice total, after discounts but before taxes. This reduces or eliminates the amount the customer needs to pay.
- Visibility in Dashboard: You can view the current credit balance and transaction history in the monis.rent Dashboard.
- Multiple Subscriptions: If a customer has multiple active subscriptions, we apply the credit automatically to the next finalized invoice.
Example of credit balance application
Single Subscription:
- A customer has a $100 monthly subscription and returned an item early and gets a $30 credit grand since he already paid for the item.
- At the next billing cycle, Stripe will generate a new invoice with the new amount of $70 as long as the user does not ad any more items. The $30 credit is automatically applied, reducing the invoice to $40.
- The customer is charged $40, and the credit balance is updated to $0. The transaction is recorded in the Dashboard under Credit balance.
Multiple Subscriptions:
- A customer has two subscriptions: Subscription A ($50/month) and Subscription B ($75/month), with a $60 credit balance.
- Both subscriptions generate invoices in the same billing cycle. If Subscription A’s invoice finalizes first, the $60 credit is applied to its $50 invoice, covering it fully and leaving $10 in the credit balance.
- Subscription B’s $75 invoice then uses the remaining $10 credit, reducing it to $65. The customer is charged $65 for Subscription B, and the credit balance is now $0.
When does monis.rent issue a credit?
Credits are issued in scenarios such as returns and swaps. Below are common cases:
Returns:
- If a customer returns a product, we apply a credit balance to your account for the remaining time you already payed for. For example, if a customer returns a product worth $50/month 15 days early, we will issue a $25 credit note, which is added to their credit balance and applied to their next invoice.
- Example: A customer on a $100/month subscription returns an item, and you issue a $50 credit note. The next invoice will be reduced to $50 after the credit is applied.
Swaps:
- When a customer swaps a item, Stripe automatically calculates a prorated credit for the unused portion of the original ite. This credit is added to the customer’s credit balance.
- Example: A customer swaps from a $100/month item to a $50/month item halfway through the billing cycle. They are owed a $50 credit for the unused portion of the $100/month item and owe $25 for the new 50$ item, resulting in a $25 credit added to their balance.
Automatic calculation and application in the billing cycle
Stripe automates the calculation and application of credits to ensure a seamless billing process:
- Upfront Payment and Credit Application: Credits are applied to the next finalized invoice in the billing cycle, not the current one if it’s already in progress. For example, if a credit is issued mid-cycle, it will apply to the invoice generated at the start of the next billing cycle.
- Automatic Deduction: When an invoice is finalized, Stripe automatically deducts the available credit balance from the invoice total. If the invoice amount is less than the credit balance, the remaining credit stays in the account for future invoices.
Example of automatic application
- A customer has a $25 credit balance from a previous order.
- Their next monthly subscription invoice is $80, generated on the 1st of the month.
- Stripe automatically applies the $25 credit, reducing the invoice to $55.
- The customer is charged $55, and the credit balance is updated to $0. The Monis Dashboard reflects this transaction under Credit balance transactions, showing the $25 deduction.
Key notes
- Credit Balance vs. Cash Balance: The credit balance is distinct from the cash balance (used for bank transfer payments). Credits cannot be used for third-party payments or linked to digital wallets like Apple Pay.
- Expiration of Credits: Our credits have no experation date.
How can i see my credit balance?
- log into your monis account and go to https://my.monis.rent/orders
- If you have a negative or positive balance you should see it on the top of your page.
